Position Summary: Located in the Registrar’s Office and working under limited supervision, the incumbent functions as an academic record/graduation specialist on behalf of undergraduate students with primary responsibility for evaluating graduation requirements and conducting the final review to determine if graduation requirements have been met and appropriate honors awarded for assigned undergraduate students. The incumbent is responsible for record-related tasks, including updating student records, course modifications, etc. The incumbent must have and maintain a good working knowledge of academic requirements, and the ability to perform detailed review and processing of student academic records. The incumbent must also be able to perform accurate work under very tight deadlines. This position provides a high level of
support and communication to UWO departments regarding curricular matters and university policy, and supports the goals and mission of the Registrar’s Office. The University of Wisconsin Oshkosh is currently transitioning from using the CollegeSource DARS software to the Oracle Campus Solutions (PeopleSoft) Academic Advisement software for degree audits. This position will be assigned tasks to complete for the transition to AAR and the eventual retirement of the DARS product.

Evaluation of student records

• Review academic records for correct application of academic policy.

• Analyze degree audit output for completion of degree requirements.

• Communicate deficiencies to students.

• Consult with deans, department chairs, and advisors regarding interpretations of academic policy, degree requirements, and individual student’s progress toward completion of degree requirements.

• Acquire and keep current with knowledge about requirements for all degrees awarded by the University of Wisconsin Oshkosh.

• Respond to student, faculty, and advisor questions regarding graduation requirements and general academic regulations. Direct students to appropriate personnel as needed.

Performance of graduation review for students

• Review degree plans as filed and note deficiencies.

• Review applications for graduation for satisfactory progress in meeting requirements of approved degree plan and note deficiencies.

• Monitor registration changes of graduation candidates and contact students if changes create a deficiency.

• Conduct final review of graduation requirements and record degrees in our SIS (Student Information System). • Evaluate for and record final graduation honors.

• Determine and compile the list of graduates for commencement. • Develop and maintain a communication process to provide timely notification to all students of their status for degree completion.

•Inform students of degree requirement deficiencies. Consult with department chair/dean on behalf of the student.

• Communicate with University Advising Resource Center (UARC) advisors and faculty advisors regarding policy, processes and student progress.

Required: 1. Knowledge of student record computer applications such as: PeopleSoft Student Records Module including Program Panel Group, Transcript Text, Term Activation, Graduation Panel, Advisor Panel, Transfer/Admission Panels, Academic Advisement Maintenance and Request pages
2. Ability to manage multiple tasks and effectively organize work to meet deadlines
3. Ability to communicate effectively, both orally and in writing
4. Has working knowledge of the following applications: Word, Excel, Access, PowerPoint, to effectively carryout assigned responsibilities
5. Maintain a high level of accuracy in student’s academic records by effectively using established business processes and activities.
Preferred: 1. Knowledge of university policies and processes: General Education Policy, college major requirements, college degree requirements, Repeat Policy, individual college policies, university graduation requirements, curricular processes, FERPA.
2. Knowledge of a degree audit reporting system including degree audit panels, entering student exceptions, updating curricular changes, maintenance of audit grade table.
