||45% Benefits Management
-Responsible for benefits administration, including new hire enrollment, open enrollment, benefit changes, and coordination of benefit billing.
-Create, manage and update all employee benefit changes and adjustments in HRS.
-Oversight of Family Medical Leave Act (FMLA) - Intake of leave requests, sending required notices, forms and letters, and determining leave eligibility. Ensure federal and state compliance of all leaves, including certification of FMLA leaves.
-Resolve employee questions and problems regarding benefits by researching benefit policies and procedures; providing answers to questions and resolutions to problems.
-Reconcile benefit accounts using reports; complete cleanup of all benefit accounts including communication to the employee, UW Service Center and/or UW System Administration.
-Maintain all employee health benefits related records and reports in both hard copy and electronic form.
-Coordinate the off-boarding process, ensuring the experience of exiting employees is smooth and dignified. Interface with existing employees, prepare all physical, data and HRS files, and coordinate with UW Service Center and UW System Benefits to facilitate benefits termination and COBRA initiation, as appropriate. Manage COBRA process with assistance of UW Service Center.
30% Benefits Resource
-Help employees understand benefit programs through a variety of communication types, including, but not limited to: one-on-one meetings and emails.
-Create or develop knowledge building resources such as: announcements, booklets, pamphlets, as well as trainings or seminars.
-Responsible for conducting benefit overviews for potential employees as requested.
-Responsible for conducting benefits orientations for all new employees on a regular schedule.
-Coordinate with UW System Benefits Team for all system communication and creating all campus communication during the Annual Benefits Enrollment period (ABE).
-Respond to all benefit related inquires.
15% Administer Wellness Program
-Assist in the planning, development, implementation, and monitoring of Well Workplace activities year-round to promote healthy lifestyles for employees, such as flu shots, Health Living Program, and tobacco cessation program.
-Track participation in wellness-related activities.
-Schedule wellness programs, coordinating presentations, classes, seminars.
-Respond to all wellness benefit inquires.
10% Miscellaneous Duties
-Plan, coordinate and participate in HR’s Annual Benefits Fair held during Open Enrollment.
-Produce accurate and detailed reports related to employee health benefits in response to audits, grants, and internal inquiries.
-Respond to HR inquiries and requests, supporting the Deputy Director and the AVC of Human Resources on additional projects and employee relations issues.
-Identify, recommend, and implement process improvements to simplify health benefits processes and procedures and to integrate best practices.
-Contribute to team effort by accomplishing related results as needed.
-Other duties as assigned by supervisor.
