Position Summary: This is a stand alone administrative support position with the Sustainability Institute. The person in this multi-faceted position will work closely with the Director and Associate Director of the Sustainability Institute in implementing day-to-day operations and Institute events. The typical weekly hours will be 30 hours/week. Work hours are approximately 9 - 3 Monday through Friday, but may require some evenings and weekends. The position will not require work during the summer months.
Responsibilities

Administrative Support 50%

1. Work with Director and Associate Director in all aspects of program administration; provide clerical support; schedule meetings; initiate and maintain correspondence with internal and external advisory committees, associated faculty, Institute partners and others; initiate and confirm travel arrangements for Director and Associate Director; set-up and maintain e-mail listservs associated with the Institute. This position will be responsible for updating and maintaining the Institute's website.

2. Work with Director and Associate Director to arrange logistics of speaker series, workshops, other programming including but not limited to room reservations, arranging meals, surveying costs, developing and compiling materials.

3. Maintain filing system for accounts, correspondence, grant information, teaching activities, evaluation materials, Institute products and events

4. Schedule and attend all internal and external advisory board meetings, take minutes at meetings, maintain correspondence with Committee members.

 

Financial Management and Grant Support 30%

1. Provide administrative support for grant applications, coordinate grants received, grant activities including budgeting and expenditures, reporting

2. Monitor and project budgets; submit requests to purchase materials and equipment for the Institute; possibly coordinate billing for contract work. 

 

Public Relations Activities 20%

1. Receive and place telephone calls, monitor general email accounts  and other digital media, provide basic information about the Institute, answer inquiries; event publicity, programming coordination.

2. Help maintain and update Institute website and social media accounts.

Qualifications  
Required: 1. Effective, clear, concise oral and written communication skills
2. Knowledge of or ability to quickly learn web design and editing, as well as some graphic design
3. Knowledge of or ability to quickly learn Microsoft Excel, Microsoft Word, Adobe Suites, University web software and the ability to work with the University's People Soft, office purchasing etc. web sites.
4. Ability to manage multiple projects at one time, meet deadlines, and anticipate needs.
Preferred: 1. Working knowledge of sustainability
2. Knowledge of university and system rules and regulations
3. Working knowledge of social media including but not limited to Facebook, Twitter, Instagram
4. Ability to remain motivated and upbeat while working with coworkers and the public

This project appointment has an anticipated duration of one year. However, due to changes in budget, project scope, etc., this end date could change. According to UPS Operational Policy: HR 7, this project appointment cannot extend past 4 years from the hire date. If this position should ever be converted to a position with the expectation of continued employment, the normal civil service system will be used and you must successfully compete if you wish to be appointed to the position.
