Position Summary:

Under the direction of the Assistant Director - General Merchandise & Convenience Store, this position is responsible for the day-to-day front line operations of both University Books & More and the Corner Convenience Store. This includes training the front line student associates to provide excellent customer service in both University Books & More and the Corner Convenience Store.

The combine sales for both stores reach approximately $5.7 million dollars annually. Additional duties in the Convenience Store include maintaining appropriate stock levels of food/health and beauty aids, receiving or overseeing the receipt of Convenience Store merchandise, preparing Convenience Store invoices for payment.

Responsibilities

A. Manage Bookstore and Convenience Store Front Line Student Associates

A1 Hire, train, and evaluate all front line student associates. Staff ranges from 20 - 30 per semester including 4 -6 student supervisors. Training includes: cash register procedures; opening and closing of both stores; stocking, rotating and pricing of convenience store product; thorough understanding of both store’s policies and procedures; overseeing and implantation procedures in regards to promotional sales and training exceptional customer service.

A2 Based on best practices, schedule the appropriate number of cashiers for each store and stockers for the Convenience store. Care must be given in order to accommodate students’ academic responsibilities. Additional consideration must be given based on the academic year schedule and special events happening on campus.

A3 Prepare staff and front end areas for all back to school seasons and special events which entail, but not limited to: Ordering and securing front end supplies as necessary; ensuring all cash registers are functioning and troubleshoot any issues regarding the registers or credit card pin pads; work with course materials (textbook) manager on issues involving rental books, access codes and any other special materials front end associates are responsible for; work with cash accountant to determine number of cash bags required each day and work with accountant to resolve problems dealing with credit, debit, gift card or student account

A4 Crosstrain front end student associates to work in both operations as needed.

A5 Oversee the daily work of all front end associates and student supervisor. Provide verbal correctives as needed.

A6 With the approval of the Assistant Director select and promote students to student supervisor responsibilities.

A7 Hold regular student supervisor meetings at least once a month, if not more.

A8 Supervise refund process along with the sales and redemption of gift cards.

A9 Review and update manuals related to training, student supervisors, cash registers, policy and procedures.

A10 Resolve issues relating to improperly rung cash register transactions and assist cash accountant in resolving any transaction problems.

A11 Assist with customer issues and complaints.

A12 Support the commitment of Bookstore & Convenience stores’ to inclusive excellence in hiring, training, customer service and in all interactions with customers and staff.

A13 Operate cash registers as necessary.

B. Inventory Management & Purchasing – Corner Convenience Store

B1 Ensure proper stock levels are maintained. Rotate stock and assist in placement of new and reorders with convenience store vendors.

B2 Assist in coordinating all special order merchandise; ensuring that the merchandise is ordered, received, delivered, and that payment is received.

B3 Ensure the delivery of incoming orders are complete, correct and without damage using proper receiving procedures. Train and delegate this task with proper training as appropriate.

B4 Review order invoices to verify proper cost of product was charged. Prepare invoices for the Assistant Director noting any product that may need retail adjustments. Complete proper markup/markdown sheets as necessary; verify items are properly entered in the Booklog system and add items as needed.

B5 Assign proper item placement on shelves.

B6 Work with vendors for credit of outdated and damaged product; verify that proper credit is received.

B7 Review vender merchandise suggestions or promotional offerings. With the approval of the Assistant Director initiate the promotion.

B8 Provide new product suggestions to Assistant Director.

C. Miscellaneous Duties as Assigned

C1. Set-up and maintain registers as needed, including credit card terminals and receipt printers.

C2. Oversee cleaning of Corner Convenience Store and Bookstore, including dusting or counters & displays. Ensure proper maintenance of convenience store coolers and freezers is completed.

C3. Other duties as assigned.

Required: • High School diploma or equivalent
• Retail/customer service experience (2 years minimum)
• Supervisory experience (2 years minimum)
• Computer knowledge including: Microsoft Office, Gmail and payroll programs
• Proficient communication skills: oral and written
• Excellent organizational skills
• Ability to lift up to 20 – 30 lbs.
• Must be able to bend and climb ladders
• Must be able to withstand long periods of standing
 

Preferred

• 1 year or more experience in a Convenience Store or Bookstore environment
• 2 years or more in Retail Management with supervisory responsibilities
• Purchasing Experience
• Post high school educational experience (ie. Tech school, 2 or 4 year college)
• Database user knowledge of Booklog POS system
